Close a level 1-3 project

Project managers are responsible for closing their project in TD once the final project activity has been completed. Completing the project close out document is considered an administrative task to be completed after a project has been closed. 

  • Conduct Lessons Learned
    • When all project activities except lessons learned have been completed, set TD project status to In Close Out and mark as 100% Complete 
    • Conduct Lessons Learned activities
    • Ensure all project team members have logged any final time against the project
  • Close the project in TD
    • Go to Actions, select Close
    • Copy any critical files/docs to the File Cabinet (project files can't be accessed once the project is closed, unless put in the File Cabinet)
    • Check the box to close any unfinished Tasks, Issues or Risks 
    • Set the Status as Inactive (this will prevent any future time reporting)
    • Under Status, select the appropriate status( anything other than "Completed-Met Expectations" should be explained in detail in the Comments section)
    • Ensure Percent Complete is 100%
    • Add a brief Comment indicating why it's closing
    • Select Save
  • Complete the Close Out document
    • Complete the appropriate closing doc found on the PPMO SharePoint Site (Level 1 project: use the Project Summary doc, Level 2 or 3 project: use the Project Close Out doc)
    • Email the completed document to the PPMO Associate Director for review
    • The PPMO Director and AD will review and provide any feedback or questions
    • When instructed, upload the closing doc to the Project Close Out Docs folder on the PPMO SharePoint (left menu)
    • The CIO will review and let you know if there are any questions
    • Once approved by the CIO, move the documents to the Finalized (CIO Reviewed) folder
