Introduction to the Research IT Consultation Process

This document describes what you can expect after requesting a research IT consultation with OTS.

While OTS is preparing for an initial meeting with you, we may ask you some questions regarding your research.  Your timely responses to those early questions will help streamline our meetings and ensure we have the right people involved.

OTS prioritizes requests based on the order received, available resources, and other constraints.  If any part of your request is constrained by deadlines imposed by financial requirements, application deadlines, or other factors, please clearly communicate that deadline with your Academic Technology Consultant so that we can do our best to meet your needs.

We will schedule an initial meeting with you and anyone on your team who you believe should be present.  During our meeting, we will ask questions regarding your research, your workflows, and your IT needs. Here are some questions to think about before the meeting:

  • What is the nature of this research effort? Learning more about this helps us not only to assess your needs, but to learn about solutions offered at peer institutions.
  • If you have worked on the same type of project previously at TU or at another institution, is there any documentation you can provide from that work to help us understand the support that was required?
  • Who’s involved in the project and how will they interact? Is there anyone from another institution who will be involved?
  • If you are planning to create data or need to store data for your research, what type of data is being stored?  For example, are there any compliance or regulatory requirements for the data (like HIPAA or other confidential data), or requirements specified by the data supplier, grant, or guidance from IRB?
  • If you are processing data as part of this project, is the desktop or laptop hardware you currently have enough?
  • Do you expect that you or anyone else you are working with need to access the data or resources we are discussing remotely from off campus?
  • Is this project being supported by a grant, college funding, or other sources? Are there any time constraints attached to this funding?

After the initial meeting, there may be further discussions to work towards a final proposal OTS will develop with you.  The proposal would include recommendations on technology solutions and related topics, any potential costs, as well as next steps.
