The SharePoint document library is the central location where users can update and manage files following the advice in this article. SharePoint is integrated with the Microsoft365 productivity apps, and documents can be:
- Created from within SharePoint
- Uploaded to SharePoint
- Saved from Office to SharePoint
Create a new file in SharePoint
- Open your file share in your preferred browser.
- Navigate to the folder where you want to create the file, if necessary.
- Select the + New button on the File Share toolbar.
- Select the type of file you wish to create from the drop-down menu. (E.g., Word, Excel, PowerPoint, OneNote, etc.) The online version of the associated app will open in your browser.
- Add content to your new file.
- Select the default name (e.g., Document, Worksheet, Presentation, etc.) in the title bar to change the name or the save location of the file.
- Close the application or select SharePoint from the app launcher (waffle) to return to SharePoint home. The new file will appear in the Document library, but you may have to refresh the page before it appears.
Upload a file or folder to SharePoint
Folders, documents and other files can be uploaded and stored in SharePoint. You can upload a single file, multiple files or an entire folder. In addition to these steps, you may also drag and drop files and folders into your document library.
Upload a file
- Open your file share in your preferred browser.
- Navigate to the folder where you want to place the file, if necessary.
- Select the Upload button on the File Share toolbar.
- Select Files from the drop-down menu. The Upload box window will display.
- Select the file or files you wish to upload, then select the Upload button. (You can hold down the Ctrl key while clicking to select multiple files.) After uploading, the file(s) will appear in the document library. If you do not see them, refresh your browser page.
Upload a folder
- Open your file share in your preferred browser.
- Navigate to the folder where you want to place the uploaded folder, if necessary.
- Select the Upload button on the File Share toolbar.
- Select Folder from the drop-down menu. The Upload box window will display.
- Select the folder you wish to upload, then select the Upload button. After uploading, the folder will appear in the document library. If you do not see them, refresh your browser page.
Delete a file in SharePoint
- Open your file share in your preferred browser, and navigate to the file you wish to delete.
- Click in the space to the left of the file you wish to delete; a check mark will display indicating the file has been selected.
- Select the Delete button on the File Share toolbar. A confirmation prompt will display.
- Select Delete to move the file to the Recycle Bin.
Use the SharePoint Recycle Bin
Deleted items are kept in the main Recycle Bin for 93 days before they are automatically moved to the Second Stage Recycle Bin. In the Second Stage Recycle Bin, they are kept for an additional 93 days before they are permanently deleted. Site owners can access the Second Stage Recycle Bin. All other site members only have access to the main Recycle Bin. There is no automatic backup of SharePoint sites, so pay close attention to deleted files.
- Select Recycle Bin from left navigation bar to display the content of the Recycle Bin.
- Click in the space to the left of the file you wish to manage; a check mark will display indicating the file has been selected.
- Select Restore on the File Share toolbar to restore the selected items

- Select Delete on the File Share toolbar to delete the selected items permanently.
