Ticket process for printer setup requests
The client should be informed that the expected turn-around time to complete the physical printer setup and network adjustments is 2 to 3 business days.
The Printer/Copier Setup ticket Quick Template should be used for these tickets. The ticket will be processed as follows. The person that completes each section of the TSR is responsible for assigning it to the next hop in the process:
- Help Center
Create the ticket and assign it to an appropriate Field Support Tech
- Field Support Tech
Physically set up and gather information about the printer.
Use Network Printer Tool to configure DNS and IP address.
Create the printer object on PrinterLogic and verify that the printer/copier is working correctly.
Help Center
- Create a ticket using the Request setup or Installation request type.
- Identify the Location and Department; this should be included in the ticket.
- Who should have access:
- In most cases, it is advisable to use a departmental group. It is not suggested to be more restrictive unless an Active Directory group already exists that fits the need (i.e., "XYZ Lab Managers").
- If this is a case like a lab printer, where "everyone" will need access, do not use "Everyone" but instead verify that "All Students" and/or "All Faculty/Staff" is sufficient.
- Special features that should be used by default (depending on features supported by the printer):
- Duplexing
- Stapling
- Color
- Hole Punching
- Codes for releasing jobs (so that the client has to enter a code at the printer to release the print job)
- Assign the ticket to an appropriate Field Technician.
Field support tech
- Physically set up the printer (un-box, put together, etc.).
- Plug the printer into the network.
- Wait a minute for the printer to obtain network information via DHCP.
- Print a configuration page.
- Use the Network Printer Tool - Add Printer
- Tool location (https://scriptweb.towson.edu/NetworkPrinterTool2/AddPrinter.aspx).
- Enter the department and current IP address, and select add printer.
- The tool will change the printer's IP network port and IP address and restart the printer after the tool has finished.
- Label and finish with printer configuration.
- Make a label with the path to the printer on PrinterLogic (i.e., "Cook Library-1st Floor-ots4") and put it on the front of the printer.
- Set the following settings on the printer (via the device's webpage).
Note: This may be slightly different for most printer models.
- Navigate to http://printer-ip-address.
- Select the Networking tab.
- Select TCP/IP Settings on the left navigation menu.
- Select TCP/IP.
- Enter the hostname (this should be the same as the print object name on PrinterLogic).
- Select Apply.
- Select the TCP/IP(v4) tab:
- Verify that DHCP is set at the IP Configuration Method.
- Select Network Settings on the left navigation menu.
- Select IPX/SPX.
- Uncheck IPX/SPX Enable.
- Select Apply.
- Select AppleTalk.
- Uncheck AppleTalk.
- Select Apply.
- Select DLC/LLC.
- Uncheck DLC/LLC.
- Select apply.
- Select SNMP.
- Set SNMP v1/2 to read-only.
Note: on current HP printers, this radio button is called Enable SNMPv1/v2 read-only access.
Note: this may be different on some printers. Look for options to only enable the "Set Community Name" and not the "Get Community Name".
- Configure the printer object on PrinterLogic:
- Browse to https://tu.printercloud.com/admin/ and sign in using the Towson Azure Login button.
- Navigate to the folder where the printer will reside.
- Right click folder, and select New -> TCP/IP Printer.
- Enter Printer Name and IP address.
- Choose the driver of the printer. When deciding on the correct driver, follow this order:
- Check for a model-specific driver.
- Choose one that is the newest version.
- If model-specific is not available, choose Universal PCL 5 or 6.
- Enter the Location and Printer Model in the Comment.
